OUTSOURCING Inc. and its group companies (hereinafter collectively referred to as the “Group”) fully acknowledge the importance of Personal Information (refers to Personal Information as set forth in Article 2, paragraph (3) of the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure—hereinafter referred to as the “My Number Act,” and includes Specific Personal Information as set forth in Article 2, paragraph (8) of the My Number Act), and believe it is the Group’s social responsibility to protect Personal Information appropriately. Thus, conforming to the Act on the Protection of Personal Information and the My Number Act, all of the Group’s officers and employees shall observe laws, regulations and other codes concerning the protection of Personal Information throughout all of its business activities, and the Group as a whole shall commit to the following principles with an aim to continuously manage and improve its Personal Information protection system:
1. Acquisition and Use of Personal Information
The Group shall obtain Personal Information through legitimate and just means, and use the obtained Personal Information within the scope of the purpose of use stated at the time of acquisition, and within the scope necessary to carry out operations. The Group shall also disclose a notice concerning the acquisition and use of Personal Information titled “Handling of Personal Information.”
2. The Purpose of Use of Personal Information
We will use the personal information we have obtained (excluding Specific Personal Information [individual numbers and individual information that contains individual numbers], please refer to the following* for specific personal information.) for the following purposes. Special Care-Required Personal Information will be obtained only with the consent of the individual, except in cases where it should be treated as an exception by laws and regulations. 4. Management of Personal Information
We will strictly and appropriately manage personal information obtained (excluding Specific Personal Information. Please refer to the following* for specific personal information.) in accordance with our various regulations. In addition, we will promptly delete or dispose of any personal information that is no longer required for use, in accordance with the procedures set forth in our various regulations.
* We outsource the management of Specific Personal Information to our domestic group subsidiary, OSBS Inc. Upon its management, we will strictly and appropriately manage the same in accordance with the laws and regulations, etc. related to Specific Personal Information and our various regulations.
5. The Provision of Personal Data to Third Parties
We will not provide personal data we have obtained (excluding Specific Personal Information. Please refer to the following* for specific personal information.) to any third party other than the business subcontractor without the consent of the individual.
In addition, we do not provide personal related information that is expected to be acquired as personal data at the destination to a third party without the consent of the person concerned.
However, this will not apply where there are justifiable grounds, such as when disclosure is required by laws and regulations.
* Specific Personal Information will not be provided to any third party, regardless of the consent of the individual, except in cases where it is required by the business subcontractor, or Article 19 of the Numbers Use Act, or other laws and regulations.
6. The Management of Subcontractors
We will instruct and supervise the business subcontractor to which we disclose personal data obtained by us, pursuant to the preceding paragraph, to conclude a confidentiality agreement, and to appropriately handle and protect such information.
7. Disclosures, Correction, etc., Suspension of Use, etc. of Retained Personal Data
If an individual wishes, in accordance with the law, to disclose, or otherwise correct (correct, add, or delete) or suspend the use etc. (suspend or erase use and suspend provision to a third party) of the individual’s personal data with respect to our retained personal data or disclose any records pertaining to the provision of such personal data that identifies an individual or verification records pertaining to the provision of such retained personal data by a third party, please contact us at the consultation desk provided at the end of this Policy, and we will promptly respond to the request within reasonable scope, after confirming that he/she is the said individual.
